Predictive & progressive dialer

Predictive dialing in India, with the trade-offs explained

A predictive dialer can keep a large floor talking almost non-stop. It also needs cloud phone lines, careful pacing and a clean, consented list. Here is how it works, where it goes wrong, and when progressive dialing is the smarter choice.

01How it works

What a predictive dialer actually does

A predictive dialer does not wait for an agent to finish a call before dialling the next number. It watches how long calls last, how often people answer and how many agents are about to be free, then dials several numbers per agent ahead of time. When someone answers, the system connects them to whichever agent has just become available.

If the prediction is right, agents go from one conversation straight into the next. If it is wrong, two things happen: either an agent sits idle, or a person answers and there is no agent to take the call.

That second outcome is why predictive dialing is impossible on a personal SIM. A phone can only hold one SIM call at a time, so there is nothing to dial "ahead" with. Predictive dialing needs cloud lines, virtual numbers provisioned through a licensed telecom partner, where many calls can ring at once and be routed to whoever is free.

  • Dials more than one number per agent at a time
  • Connects answered calls to the next free agent
  • Filters some unanswered outcomes automatically before an agent hears them
  • Available in CRM Dialer only with cloud calling on the Scale plan

02Trade-offs

The trade-offs every predictive dialer makes

Pacing ratio
The number of lines dialled per available agent. Push it up and agents talk more, but more answered calls find no one waiting. Pull it down and fewer calls drop, but agents wait between conversations. There is no setting that maximises both.
Abandoned calls
When a person answers and no agent is free, the system has to drop or hold the call. To the person who answered, it looks like a stranger rang and hung up. Some will call back; many will block or report the number.
Dead air
Even when an agent is free, connecting takes a moment. The person says "hello" and hears a short silence before anyone speaks. That pause is a well-known sign of an automated call and it costs rapport in the first second.
Answering-machine detection (AMD)
AMD listens to the first moments of a call to guess whether a human answered. On Indian mobile networks it also has to cope with recorded network announcements such as "switched off" or "not reachable" and with caller tunes. No detection is perfect: false positives hang up on real people, and false negatives send agents to recordings.
No time to prepare
The agent sees the lead's details only as the call connects. That is fine for short, scripted calls and poor for anything that benefits from reading the last note first.
List burn
Predictive dialing works through a list very quickly. A small list of warm enquiries is exhausted in hours, and the pressure to buy more data is exactly where compliance trouble starts.

03Dialer modes

Preview, progressive, power and predictive at a glance

Vendors do not always agree on where progressive ends and power begins. Here is how we use the terms, and what CRM Dialer offers on each kind of line.

05The middle ground

Progressive dialing: most of the speed, none of the silence

Every abandoned call and every pause of dead air teaches someone that your number is one to ignore. In a market where people already screen unknown callers heavily, that is an expensive lesson to teach your own leads.

A progressive dialer takes a safer route. It still dials automatically, so agents never type numbers or choose who to call next. But it places a call only when an agent is actually free, one line per agent. When the person answers, the agent is already there. No dropped calls, no silence, and the agent has a second or two to glance at the lead before the conversation starts.

The cost is some idle time while unanswered numbers ring out. For most Indian teams calling people who enquired, that cost is small compared with the damage a silent call does to a warm lead. CRM Dialer's SIM dialer already works this way, one call at a time. Our power dialer page explains the single-line mode in detail. On cloud lines, progressive pacing is the natural first step before you consider predictive at all.

06Fit check

When not to use a predictive dialer

Predictive dialing is a tool for a specific kind of operation. If any of the first four cards describes you, start with progressive instead.

Use progressive

Your leads asked you to call them

A student who just filled an admissions form or a buyer who enquired about a 2BHK expects a person to call. Greeting them with a pause, or ringing and hanging up, wastes the best lead you will get all day. Fresh inbound leads deserve a dialer that guarantees a human on the line.

Use progressive

Your team is small

Pacing algorithms need enough agents and enough calls to predict well. On a floor of a handful of telecallers, small errors become frequent abandoned calls.

Use preview

Calls need preparation

Loan follow-ups, renewals with history, or high-value property buyers are better served by preview or progressive modes.

Not on SIM

You plan to dial from personal SIMs

Not possible technically, and bulk promotional calls from 10-digit numbers are barred anyway.

Possible fit

Where predictive can fit

Large floors working big lists of existing customers or consented contacts on cloud lines, such as reminders or renewals, with pacing kept conservative.

08Rolling it out

How to move from SIM dialing to predictive, safely

If predictive dialing does fit your operation, treat it as the last step of a rollout, not the first.

  1. 01

Move the team to cloud calling

Talk to us about the Scale plan. Cloud numbers are provisioned through licensed telecom partners and your CRM, leads and reports stay exactly where they are.

  2. 02

Run progressive for a few weeks

Measure connect rate, average talk time and how long agents wait between calls. This is your baseline, and for many teams it is where they stay.

  3. 03

Switch on predictive with conservative pacing

Start close to one line per agent and raise it slowly. Turn on answering-machine detection and listen to a sample of filtered calls to check it is not hanging up on real people.

  4. 04

Review abandoned and short calls every week

If abandoned calls or complaints rise, lower the ratio. A few extra minutes of agent idle time is cheaper than a reported number.

FAQ

Predictive & progressive dialer: common questions

Can I use a predictive dialer with a normal mobile SIM?

No. Predictive dialing places several calls per agent at once, and a phone can only hold one SIM call at a time. It needs cloud lines. In CRM Dialer, predictive dialing is available with cloud calling on the Scale plan.

What is the difference between predictive and progressive dialers?

A progressive dialer calls the next number only when an agent is free, one line per agent, so every answered call reaches a person. A predictive dialer dials ahead of agent availability across multiple lines, which raises talk time but can cause abandoned calls and dead air.

What is an abandoned call?

An abandoned call happens when a person answers a dialer call and no agent is available, so the system drops it or leaves them waiting. To the person, it feels like a stranger rang and hung up, and it is a common reason numbers get reported as spam.

Does answering-machine detection work well in India?

AMD can filter many unanswered outcomes, but it is never perfect. On Indian mobile networks it also has to classify network announcements and caller tunes. Always sample filtered calls to make sure real people are not being cut off.

Is a predictive dialer worth it for a 10-person telecalling team?

Usually not. Small teams calling inbound enquiries tend to get more from a progressive or power dialer, which avoids silent calls and works on SIM. See our auto dialer software page for the SIM approach.
